The Broker’s Shield: A Red Flag Checklist for Every Load
Use this checklist to vet carriers before you hit "Send" on that Rate Con. If you hit more than two of these flags, it’s time to pick up the phone and dig deeper.
1. The Digital Identity Check
Domain Mismatch: The email comes from a generic provider (e.g.,
@gmail.com,@outlook.com) or a domain that is slightly "off" (e.g.,@logistics-inc.comvs the real@logisticsinc.com).New or "Ghost" Authority: The MC number was issued or reactivated within the last 30–90 days.
FMCSA Data Gaps: The phone number provided by the driver/dispatcher does not match the number listed on the carrier’s FMCSA profile.
No Web Presence: A Google search for the carrier’s physical address shows a residential home, a virtual office, or a PO Box instead of a yard.
2. The Behavioral Check
Extreme Urgency: The "dispatcher" is overly pushy or willing to take a significantly lower rate just to "get the driver moving."
Tracking Avoidance: The driver refuses to use your tracking software or claims their "phone is broken" immediately after booking.
Communication Style: The dispatcher refuses to hop on a quick phone call and insists on communicating only via email or text.
3. The Physical "Proof of Life"
Plate Discrepancy: The tractor/trailer plates at the yard don't match the ones provided during the booking process.
No Magnetic Signs: The truck arrives without any carrier branding or with temporary magnets that look brand new.
VIN Verification: The driver cannot or will not provide the last 6 digits of the VIN when asked by the loader.
Pro-Tip: The "Call-Back" Method
The most effective way to kill a "Ghost Truck" scenario is the Official Call-Back. Don't call the number the dispatcher gave you. Instead:
Go to the carrier's profile in your TMS or FMCSA.
Call the registered number on file.
Ask to speak with the person who just booked your load. If they’ve never heard of it, you just saved a cargo claim.
